At Love Fest Events, we believe in creating a space where everyone feels safe, respected, and empowered to be themselves. As part of this commitment, we ask all attendees to be mindful and responsible when taking photographs or videos during the event. Before capturing someone's image, please make sure you have their enthusiastic consent. Remember, a simple "Is it okay if I take your picture?" goes a long way in making everyone feel comfortable and included.

We also encourage you to honor our Code of Conduct, which promotes respect, consent, and community care. By working together, we can ensure that Love Fest Events remains a welcoming and supportive environment for all.

Purpose
The purpose of this media policy is to outline the guidelines for media coverage, photography, videography, and the use of images and recordings at Southwest Love Fest (SWLF) and all Love Fest Events. This policy is designed to protect the privacy and rights of our attendees while ensuring a respectful and enjoyable experience for everyone.

Scope
This policy applies to all attendees, volunteers, staff, media representatives, and vendors participating in Love Fest Events.

Media Coverage

  • Accreditation: All media representatives must be accredited by Love Fest Events prior to the event. Accreditation requests should be submitted to [email protected] at least two weeks before the event.

  • Guidelines for Media: Accredited media representatives must wear their media badges at all times and respect the privacy and comfort of all attendees. They must seek permission before conducting interviews, taking photographs, or recording video/audio of individuals.

Photography and Videography

  • Official Love Fest Events Photography: Love Fest Events may hire official photographers and videographers to capture the event for promotional purposes. These individuals will be clearly identified and must adhere to this policy.

  • Attendee Photography: Attendees are welcome to take personal photographs and videos for their own enjoyment. However, we ask that attendees be mindful of others' privacy and ask for consent before taking pictures or recording videos of individuals. We want everyone to feel safe and respected, so please ensure you have permission before capturing someone's image.

Social Media Sharing
We encourage attendees to share their experiences at Love Fest Events on social media! However, please be cautious about sharing images that may reveal identifying information about others. Before posting pictures or videos, make sure you have the consent of anyone who is identifiable in the content. Let’s work together to create a welcoming and inclusive environment both online and offline.

Photo Release Language
By entering any Love Fest Events premises, you consent to be photographed, filmed, and/or otherwise recorded. Your entry constitutes your consent to such photography, filming, and/or recording and to any use, in any and all media throughout the universe in perpetuity, of your appearance, voice, and name for any purpose whatsoever in connection with the promotion, publicity, or marketing.

You understand that all photography, filming, and/or recording will be done in reliance on this consent given by your entry. If you do not agree to the foregoing, please do not enter the event premises.

Opt-Out Procedure
If you prefer not to be photographed or recorded, please obtain an “Opt-Out” badge from the registration desk. We will make every effort to respect your wishes; however, it is your responsibility to avoid cameras and notify photographers if you do not wish to be captured.

Use of Images
Love Fest Events reserves the right to use any photographs, video footage, or other recordings taken at the event without the expressed written permission of those included within the content. Love Fest Events may use the content in publications or other media material produced, used, or contracted by Love Fest Events, including but not limited to: brochures, invitations, books, newspapers, magazines, television, websites, and social media.

Violation of Policy
Any person found to be in violation of this media policy may be subject to removal from the event and potential banning from future Love Fest Events.

We welcome press coverage! If you’re with the media and want to cover an event, please reach out beforehand. We’ll set you up with the right permissions so you can capture the event respectfully.

Will there be official photos or videos?

Yes, we’ll have our team capturing special moments. By attending, you’re giving consent to be in these photos or videos, which we may use later. If you have concerns, just let our media team know.

What if I don’t want to be photographed or recorded?

We totally get it. Let our team know when you arrive, and we’ll do our best to respect your wishes. You can also wear a “No Photos” badge to signal your preference.

What if I see unauthorized photos or filming?

If you see anyone taking photos or videos without permission, or if it feels uncomfortable, tell a staff member. We’re here to make sure everyone feels safe and respected.
